Privacy

What happens to your data.

Short, because the site does very little with it. No cookies, no analytics, no third-party trackers - and one contact form.

The short version

This site sets no cookies, runs no analytics, and loads nothing from a third party.

There is no consent banner because there is nothing to consent to. No tracking pixels, no advertising tags, no embedded fonts or scripts fetched from anyone else’s servers - the fonts and images are served from this domain. Browsing these pages leaves us with nothing about you.

Apart from people we contact first (see below), the only personal data we receive is what you choose to send through the contact form, or by emailing us directly.

Who is responsible

The data controller.

AdvancIT OOD (АдвансИТ ООД), trading as Northkeep, registered office 4 Zname Street, 4000 Plovdiv, Bulgaria, company number 201074525, VAT BG201074525.

For anything to do with your personal data, including any of the requests below, write to contact@northkeep.io.

The contact form

What we collect, and what we do with it.

What the contact form collects
Your name, your company, your email address, and whatever you write in the message field. Nothing else. There are no optional tracking fields and no profiling.
Why
To read your enquiry and reply to it, and to carry on the conversation if it leads somewhere. Nothing is used for marketing lists, and nothing is sold or shared for anyone else’s purposes.
The legal basis
Taking steps at your request before entering into a contract (Article 6(1)(b)), and otherwise our legitimate interest in responding to a business enquiry addressed to us (Article 6(1)(f)).
Where it goes
The form posts to our own endpoint, which runs on Amazon Web Services in the eu-central-1 region (Frankfurt) and sends the message as an email to our contact inbox. AWS acts as our processor. The submission is not written to a database and is not stored anywhere other than that mailbox.
How long it is kept
The email stays in our contact mailbox for as long as it is needed to handle your enquiry and any engagement that follows, and no longer than is necessary for that purpose. Where an enquiry leads to an engagement it becomes part of the client record, and records that Bulgarian accounting and tax law require us to keep are retained for those periods. Ask us to delete your enquiry and we will.
Who else sees it
Nobody outside the practice, except our infrastructure and email providers acting on our instructions, and anyone we are legally required to disclose to. There are no advertising or analytics recipients, because there is no advertising or analytics.

The form also carries a hidden field and a timestamp used only to detect automated spam submissions. Neither identifies you, and neither is kept.

What the infrastructure keeps, and for how long.

Worth stating precisely, because "we take your privacy seriously" is not a retention policy.

Function logs
The function that sends the email writes to a log group with a 30-day retention, after which entries are deleted automatically. It logs only whether sending succeeded or failed - never your name, your email address or your message.
Web server access logs
None. Access logging is not enabled on the CDN or the API, so your IP address and the pages you viewed are not recorded by us at all.
Database
There isn’t one. Your submission is never written to storage anywhere in the pipeline - it is turned into an email and sent.
Email delivery
The message is sent through Amazon SES in the eu-central-1 region (Frankfurt). No delivery-event logging or archiving is configured, so SES retains no copy after sending.
The mailbox
The delivered email is the only place your submission persists, and it is kept no longer than the purpose it was sent for requires.

People we contact first

Sometimes we contact people whose professional role makes our work relevant to them, usually on LinkedIn or by email. For this we keep a small record: name, role, employer, business contact details, the public professional profile, and short notes on our conversations and on public news about the company.

We take this only from sources people or their employers make public for professional reasons: company websites, press releases, regulatory filings, annual reports, conference listings and professional profiles. We do not buy contact lists or use data vendors for information about people. Our CRM may add public details about companies, such as industry and size.

We keep this record in LinkedIn, where the conversation happens, in HubSpot, our CRM, which hosts our data in its EU data centre, and in our internal working documents. HubSpot, Inc. is based in the United States; any access to the data from outside the EU is covered by HubSpot's data processing agreement.

Our legal basis is our legitimate interest in contacting professionals about matters within their role (GDPR Art. 6(1)(f)). We have assessed this and can share the assessment on request.

If someone does not engage, we review and delete the record after 12 months. If you ask us to stop, we stop at once on every channel and keep only a short note that you asked, so that we never contact you again.

You can object or ask what we hold at any time: contact@northkeep.io.

Your rights

What you can ask us to do.

Under the GDPR you can, at any time and free of charge:

  • Ask for a copy of the personal data held about you
  • Ask for it to be corrected if it is wrong
  • Ask for it to be deleted
  • Ask us to restrict how it is used, or object to that use
  • Ask for it in a portable form
  • Withdraw consent where processing relies on consent

Email contact@northkeep.io and we will deal with it. There is no form to fill in.

If you are not satisfied with how we handle it, you can complain to the Commission for Personal Data Protection (Комисия за защита на личните данни (КЗЛД)), the Bulgarian supervisory authority - cpdp.bg - or to the supervisory authority where you live or work.

Changes

This notice describes what the site actually does today. If that changes - if analytics are ever added, or the form starts writing to a store - this page changes at the same time, not afterwards.
